Job Description:
Musicians On Call (MOC) delivers live and recorded music to the bedsides of patients in healthcare environments. The Executive Assistant (EA) is a full-time, non-exempt position responsible for providing administrative support for the President & CEO and Chief Operating Officer (COO). The Executive Assistant role is a fast-paced position that requires a high level of time management, organization, and people skills, and operates in a high-performing environment. This position will, among many other things, coordinate executive tasks, manage calendars, log meeting notes, and assist with Board of Directors needs. The Executive Assistant will also work with all departments to execute cultivation and stewardship tasks. This position will report to the President & CEO and COO and will be based out of Nashville, TN.
We are looking for someone who has an exceptional work ethic, is able to work evening and/or weekend hours when needed, and thrives under pressure.
Responsibilities:
- Manage calendars including scheduling meetings and booking travel
- Prioritize, track and categorize meetings under advisement from the President & CEO, COO and department heads
- Research and prepare meeting briefs and background materials on attendees in advance of each meeting
- Work closely with the Development Department to execute cultivation and stewardship tasks and talent requests related to the President & CEO and COO
- Capture and log meeting notes in Salesforce, executing proper follow-up with appropriate team members
- Manage President & CEO’s tasks to ensure deadlines are met
- Manage materials relating to the Board of Directors and track all related giving
- Plan quarterly board meetings and oversee the distribution of quarterly board packets
- Coordinate Executive team meetings and Board meetings
- Provide support for the organization’s in-person events, as well as third-party events that support MOC
- Submit monthly expense reports for the President & CEO, COO, and Chief Development Officer
Minimum Qualifications Required:
- Excellent communication skills, both written and verbal, and detail-oriented
- Proactive self-starter who can set and achieve goals with a passion for and interest in learning more about the nonprofit world
- Ability to prioritize tasks, meet deadlines, manage several projects simultaneously, and work well under pressure
- Must be able to work and respond to communications during evenings and weekends when needed

- Proficiency in Google Workspace
- Familiarity with Salesforce and Zoom, and experience with expense management preferred
